Why was DYB created?
DYB was created to provide YouthBuild Global’s Affiliated Network (AffNet) with a data management tool, not just a reporting tool. YouthBuild Global wanted to provide programs greater visibility around outcomes, and more user-friendly and meaningful data. Additionally, DYB was developed to address some of the reporting challenges with WebSTA-Q and make data entry and data corrections easier.
What makes DYB different from WebSTA-Q?
DYB is an open data management system that you and other staff at your program can access any time you need to enter new data, correct old data and look at reports. No more “unsubmitting” data!
DYB also offers simple navigation with side menus that allow you to move to different data entry screens with ease. If you don’t have an answer, just save and come back later to finish.
The Reports functionality of DYB shows you how your program is performing and allows you to easily access data entry screens for corrections.
Is my old data in DYB?
Yes! When you log into DYB you will have access to nearly all data that was previously reported in WebSTA-Q. Because all of your students will be in DYB, you can use the new reports to look at old data. You can also make any data corrections that may have been too hard to make in WebSTA-Q.
Can I backdate data?
Yes! If you need to enter data that was missed in previous reporting you may do so at any point. Make sure to backdate with the correct date and resolve any resulting data issues and your outcomes will immediately be counted in reports.
Where do I find reports and summaries of the information I am entering into DYB?
The Reports page in DYB contains reports and summaries of all the data entered into DYB for your program. Program outcomes and YBUSA initiative specific reports can be viewed by accessing the AffNet reports on the Reports page.
Do we still submit an Urgent Request for Data (URD) every year?
We will no longer ask you to complete an Urgent Request for Data every year. In DYB, the data that you enter on an ongoing basis and verify every quarter will tell us what we need to know to calculate yearly outcomes for the whole Affiliated Network and for each individual program.
What is a Cohort Year?
Just as in past years with the URD, a Cohort Year runs from October through September. YouthBuild Global will evaluate the Affiliated Network’s outcomes each year based on the students who leave their YouthBuild programs, successful or otherwise, during that 12 month period. In DYB any student that leaves your program will be automatically assigned a cohort year based on their exit date. You may also use tags to create other groups for outcomes reports.
What are tags in DYB?
Tags are labels that are used to group students. You can create and add tags to any student. Tags are commonly used to group students by funding source, class, or grant year. Tags allow programs to search for groups of students, or run reports. There are user tags, created by you and other staff at your program and system tags. System tags are automatically assigned by DYB, grouping students for each cohort year and any of more than 350 data points you've entered on that student in DYB, such as sex, certificate attainment, initiative, and more.
What is the difference between DYB and the U.S. Department of Labor (DOL) MIS ?
DYB is the data reporting application of YouthBuild Global’s Affiliated Network (AffNet). YouthBuild Affiliates are required, as part of the YouthBuild Global AffNet licensing agreement, to enter data on every single YouthBuild student regardless of how they are funded. YouthBuild Global uses this data for advocacy, technical assistance and quality assurance. YouthBuild Affiliates enter data for all of their YouthBuild students in DYB- regardless of funding. For more detail on how we use data, see our Data Use Policy.
The MIS is for DOL YouthBuild Grant reporting. The DOL MIS is a data management system that provides data to DOL about grantees, and DOL MIS enables DOL-funded YouthBuild programs to use their data on a daily or weekly basis in the management of only their DOL funded students.
While both the Department of Labor (via MIS) and YouthBuild Global’s Affiliated Network (via DYB) use similar performance measures as benchmarks for success, it is important to note that these performance measures and definitions are not identical.
Both data systems are important for different reasons. Members of the Affiliated Network who are also funded by DOL must report data in both systems.
Which students do I enter into DYB?
Any students enrolled in YouthBuild programming, should be entered into DYB, regardless of their funding. This should always include, but may not be limited to, students who are participating in your DOL YouthBuild program, and any students funded by a grant from YouthBuild Global.
When is my data due in DYB?
You may enter data into DYB anytime. Every program must verify the accuracy of the data entered during the month following the end of each quarter.
DYB Quarterly Data Verification Deadlines:
Q1 :: Jan - Mar :: Due April 30th
Q2 :: Apr - Jun :: Due July 31st
Q3 :: Jul - Sep :: Due October 31st
Q4 :: Oct - Dec :: Due January 31st
