Why Does Some of My WebSTA-Q Migrated Data Have Unexpected Dates?
In WebSTA-Q, dates were reported on a quarterly calendar, while in DYB, dates are reported on a 365-day calendar. Therefore, when dates were migrated over from WebSTA-Q, we did some generalizing of the quarterly information.
For example, in WebSTA-Q a student who enrolled during the first quarter of 2015 was migrated into DYB as enrolling on January 1, 2015, the first day of the quarter.
Do I Need to Correct My Old Data?
With the exception of the current cohort year, there is no need to correct old migrated data. Of course you have the ability to make any corrections if you like. Certainly we encourage you to correct or add any missing data that will be important for your program to have accurate, but the first cohort year to be completed in DYB (2014-15) is the most important for your Affiliated Network performance outcomes.
Recommended Data Corrections
YouthBuild Global recommends that you correct any incorrect data for the first cohort year to be completed in DYB, which runs from October 1, 2014 to September 30, 2015.
Specifically the most critical data corrections are those that might affect present or recent outcomes, the cohort year includes any student that exited from October 1, 2014 through September 30, 2015. Correcting any incorrect data for your active students and students exited since October 1, 2014 should be your primary focus. Use the Affiliated Network Performance Standard Reports to help you review your data!
- Exit Dates: Because Exit Dates are factored into your performance standards make sure that your exit dates are correct for Cohort 2014-15.
- Educational Attainment and Advancement: Because making data changes was very hard in WebSTA-Q, make sure that your educational outcomes are entered correctly (pre and post-tests as well as HSD/HSE attainment).
- Placements: Make sure that all placements (Education and Employment) for Cohort year 2014-15 are entered into DYB.
- AmeriCorps Enrollment Dates: Make sure enrollment/start dates for AmC Grant Year 2014 are accurate and change as necessary.
If you have any questions regarding old data and why it looks the way it does, please contact DYB Support.
Reference: WebSTA-Q Data Migration Conversions
The following is a list of how dates in WebSTA-Q were converted to dates in DYB, and other conversions:
